Start with call reasons

List the reasons people call, the information needed for each path and the actions a capable staff member would take. This creates a constrained workflow instead of an open-ended performance.

The system should be evaluated on completed outcomes, accurate capture and appropriate escalation — not whether it sounds impressively human in a short demo.

Design the safe path

Define explicit permissions for booking, updating records, sending messages or transferring calls. Keep irreversible or high-impact actions behind confirmation or human review.

Plan for silence, poor transcription, uncertainty, emotion, unsupported requests and system outages before launch.

Operate it like a product

Review real conversations, latency, cost, abandonment, transfer reasons and failed actions. Improve prompts and workflow rules from evidence.

Voice AI is an operational system. It needs monitoring, ownership and a clear human fallback just like any other customer-facing channel.
